What You’ll Do

  • Provide comprehensive administrative support within the unit to ensure operational effectiveness.
  • Manage general administrative activities, including travel arrangements, venue bookings, and accommodation.
  • Compile and administer office correspondence, documents, reports, and minutes for the unit.
  • Maintain an organized filing system for easy retrieval of documents.
  • Prepare financial and administrative reports, including budget and cash flow projections.
  • Facilitate and attend meetings, acting as secretary to ensure accurate record-keeping.
  • Monitor incoming work and ensure all deadlines are met efficiently.
  • Liaise with relevant stakeholders to ensure smooth communication and information flow.
  • Process forms and documents related to claims, payments, and consultant fees.
  • Innovate and enhance service delivery practices within the unit.
  • Implement effective risk and compliance management practices.
  • Manage human, physical, and financial resources effectively within the unit.
  • Provide coaching and guidance to staff on best practices and compliance standards.

What You’ll Need

  • An undergraduate qualification in Office Management and Technology, Business Management, Administration Management, Public Administration, or Public Management at NQF Level 6 recognized by SAQA.
  • A minimum of 2 years’ experience in an administrative role, preferably as an Administrative Officer or Chief Administration Clerk.
  • Familiarity with National Treasury Regulations and various filing systems.
  • Knowledge of the Public Finance Management Act (PFMA) and Public Service Regulatory Framework.
  • Understanding of departmental legislation and prescripts, as well as Supply Chain Management processes.
  • Valid driver’s license is an added advantage, along with the willingness to travel and work extended hours.
  • Strong analytical, planning, organizing, and problem-solving skills.
  • Excellent verbal and written communication capabilities.
  • Proficiency in financial administration and a customer-focused mindset.
  • Attention to detail, multi-tasking ability, and commitment to teamwork and results.
  • High levels of computer literacy and a strong sense of integrity and accountability.
