What You’ll Do

  • Provide secretariat and receptionist support to the Director.
  • Receive and direct telephone calls to appropriate personnel.
  • Maintain an organized diary by recording appointments and events.
  • Type documents and correspondence for the Director and unit staff.
  • Operate office equipment, including computers and photocopiers.
  • Arrange travel logistics and verify travel arrangements.
  • Organize meetings and events, including venue selection and scheduling.
  • Process travel and subsistence claims, along with invoices related to the Director’s activities.
  • Record minutes of meetings and assist with administrative tasks.
  • Manage incoming and outgoing documents and maintain filing systems.
  • Handle procurement of standard office items like stationery and refreshments.
  • Stay updated with departmental policies and procedures to ensure effective support.

What You’ll Need

  • A Grade 12 Certificate is essential.
  • Proficiency in computer applications such as Microsoft Word, Excel, and PowerPoint.
  • Strong telephone etiquette and excellent communication skills.
  • Good organizational abilities and sound interpersonal skills.
  • Capable of working with tact and discretion in various situations.
  • Ability to communicate effectively with individuals from diverse backgrounds.
