What You’ll Do

  • Provide comprehensive secretarial support to the Director, ensuring effective communication and organization.
  • Manage incoming calls and direct them to the appropriate personnel.
  • Maintain the Director’s diary by recording appointments and events.
  • Prepare and type documents, reports, and routine correspondence for the senior manager and the unit.
  • Operate office equipment like computers and photocopiers to facilitate daily tasks.
  • Arrange travel plans by liaising with travel agencies and checking relevant documents.
  • Organize meetings and events, including venue selection and scheduling.
  • Process travel and subsistence claims, as well as invoices related to the director’s activities.
  • Maintain accurate records of meetings by recording minutes and distributing documents as needed.
  • Ensure efficient filing and document management for the senior manager and the unit.
  • Handle procurement of office supplies and manage leave registers.
  • Stay updated with public service policies and departmental procedures to provide effective support.

What You’ll Need

  • A Grade 12 Certificate is essential.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Strong telephone etiquette and excellent communication skills, both written and verbal.
  • Sound organizational skills with the ability to manage multiple tasks effectively.
  • Good people skills to interact with individuals from diverse backgrounds.
  • A tactful and discreet approach when handling sensitive information.
