What You’ll Do
- Provide exceptional receptionist services to visitors and callers.
- Manage all incoming and outgoing calls efficiently.
- Transfer calls to relevant extensions and provide accurate information to callers.
- Take messages and ensure they are conveyed to the appropriate staff members.
- Maintain records of outgoing calls and update the telephone database.
- Keep an updated internal directory with contact numbers of stakeholders.
- Identify and report any telephone faults to the supervisor.
- Maintain the switchboard system to ensure smooth operations.
What You’ll Need
- A Grade 12 qualification along with a recognized Office Administration Certificate, Secretarial or Receptionist Certificate, or Public Relations qualification.
- Knowledge of public service legislative frameworks, policies, and processes.
- Strong interpersonal and organizational skills.
- Excellent written and verbal communication abilities.
- Advanced proficiency in computer literacy, including Microsoft Excel, PowerPoint, MS Word, and GroupWise.
- Ability to work effectively both in a team setting and independently.
- Willingness to occasionally work after hours as necessary.
- Good telephone etiquette and understanding of Batho Pele Principles.
