What You’ll Do

  • Provide secretarial support to the Deputy Director-General’s office, ensuring smooth operations.
  • Manage the DDG’s diary and schedule appointments effectively.
  • Assist in the consolidation and alignment of various reports, including monthly and quarterly documents.
  • Facilitate the receipt, distribution, and documentation of essential office materials.
  • Handle claims and administer leave requests for the office.
  • Support document management processes and ensure proper records are maintained.
  • Draft internal and external communications, including memos and presentations.
  • Coordinate travel arrangements and logistical support for meetings and workshops.
  • Act as a point of contact for client liaison, providing information about departmental policies and procedures.
  • Screen calls and manage emails for the DDG, ensuring prompt responses.

What You’ll Need

  • A National Diploma (NQF6) in Public Management, Office Management, or a relevant qualification recognised by SAQA.
  • A minimum of two years’ experience in office management and administration.
  • Knowledge of administrative and procurement procedures relevant to the public sector.
  • Familiarity with public service procedures, including the Public Finance Management Act (PFMA) and Treasury Regulations.
  • Proficiency in LOGIS and BAS systems.
  • Strong computer literacy and ability to compile spreadsheets and reports.
  • Excellent planning, organizing, and communication skills.
  • Ability to gather and analyse information effectively and work both independently and as part of a team.
