What You’ll Do

Requirements
A minimum Grade 12 is required.Knowledge in reception, switchboard operation and office administration.
Job Duties
Reception Services: Receive telephone calls, messages and direct them to the relevant stakeholders.Welcome, receive and direct clients to the offices of the meetings and provide relevant information when required.
Operate office equipment and photocopiers and liaise with internal and external stakeholders.
Maintain and oversee the utilisation of visitor register.
Render effective Reception Services: Monitor and control the movement of employees, visitors and contractors on the floor.
Confirm host availability before directing visitors to the required floor and escort visitors to the waiting rooms.
Notify relevant staff members of their guests’ arrival and monitor guests’ whereabouts while they are on the premises.
Answer telephone calls related to meetings, guests on the floor and visitors in the building.
Record staff members’ whereabouts, arrivals and departures when required.
Escorting of Visitors: Escort visitors to 84 consultation or conference rooms.
Notify security at the main reception once visits are completed.
Approach unauthorised persons found on the floor and request security assistance where necessary.
Ensure that visitors do not access restricted workstations or areas.
Maintain Reception Area: Maintain a clean and orderly reception area at all times.
Receive and acknowledge correspondence.
Manage and monitor the electronic booking system.
Answer, screen and direct telephone calls.
Support Floor Representatives during emergency situations.
Arrange and provide refreshments for meetings.
