What You’ll Do
- Provide secretarial support, including answering, screening, and forwarding calls to the appropriate staff members.
- Welcome visitors, assess their needs, and direct them to the correct personnel.
- Coordinate appointments with the Appointments Secretary and manage the scheduling of meetings.
- Type documents and manage correspondence for staff within the office.
- Operate office equipment such as fax machines and photocopiers.
- Liaise with travel agencies to arrange travel for staff members.
- Identify venues and organize refreshments for meetings and events.
- Process travel and subsistence claims for office staff.
- Handle courier services and manage telephone accounts.
- Procure standard office supplies like stationery and refreshments.
What You’ll Need
- A National Senior Certificate is required.
- An NQF level 6 qualification in Office Administration, Business Administration, Secretarial Studies, or Public Administration is an added advantage.
- No prior work experience is necessary, although exposure to a similar environment will be beneficial.
- Excellent language skills with the ability to communicate effectively with diverse individuals.
- Good telephone etiquette and computer literacy, particularly with Microsoft Applications.
- Strong organizational skills and a high level of reliability.
- Ability to handle correspondence with tact and discretion.
- Good grooming and presentation.
- Familiarity with relevant policies and procedures applicable to the role.
