What You’ll Do
- Manage administrative operations for the Deputy Director-General’s office, ensuring effective office systems and records management.
- Provide high-level executive administrative support, including managing appointments, preparing briefing packs, and drafting correspondence.
- Coordinate the flow of information and submissions, prioritizing incoming documentation and ensuring confidentiality in handling sensitive matters.
- Organize and support meetings chaired by the Deputy, including compiling meeting packs, recording minutes, and monitoring the implementation of decisions.
- Act as the liaison between the Deputy’s office, the Ministry, and various stakeholders, coordinating responses to inquiries.
- Oversee financial and resource administration, monitoring budget expenditures and preparing necessary documentation for adjustments.
- Arrange travel logistics and event coordination, preparing itineraries and liaising with travel agencies for international engagements.
What You’ll Need
- A qualification at NQF 6 in Secretarial Studies, Office Administration, Public Administration, or Business Administration, as recognized by SAQA.
- 3 to 5 years of experience providing office support services to senior management in a public or private sector environment.
- Proven experience in high-level administrative support, including diary management, meeting coordination, and briefings.
- Strong office and records management skills, with knowledge of National Archives compliance.
- Excellent minute-taking, drafting, and editing skills for a range of correspondence and briefing notes.
- Experience in coordinating complex travel arrangements and managing protocol for official events.
- Strong interpersonal skills with the ability to liaise effectively across government and with external partners.
- Good computer literacy, particularly with MS Office, and familiarity with filing and management information systems.
