What You’ll Do

  • Facilitate the coordination and submission of departmental reports to oversight bodies, ensuring compliance with regulations and deadlines.
  • Provide secretariat services to departmental management structures, including scheduling and coordinating meetings.
  • Represent the Unit in meetings as required, maintaining effective communication with stakeholders.
  • Monitor and implement the Unit’s operational plan, compiling reports on project visits and outreach programs.
  • Coordinate initiatives such as Taking Legislature to the People (TLP) and oversee provincial and national outreach programs.
  • Assist with budget planning and financial administration to support the Unit’s goals.
  • Perform general office administration tasks and other duties assigned by the Deputy Director.

What You’ll Need

  • A Grade 12 qualification plus a recognized National Diploma (NQF 6) in Social Sciences, Community Development, Communication, Public Management, or a related field.
  • A minimum of 3 years of relevant experience in monitoring and evaluation, community development, communications, or administration.
  • Strong leadership, written, verbal, listening, and interpersonal skills for effective stakeholder engagement.
  • Excellent organizational skills and proficiency in relevant software for data management and report preparation.
  • Strategic planning abilities to support the Unit’s performance and budget management.
  • Demonstrated analytical skills for monitoring activities and providing updates to the Legislature and the Office of the Premier.

Requirements

Strong organisational skills and proficiency in relevant software are required to support data management, report preparation, minute-taking, coordination of electronic and physical meetings, and the management of filing systems.

Strategic planning skills are 242 necessary for the planning, implementation, monitoring, and reporting of the Unit's performance, as well as for supporting the management of the Department's budget and financial matters.

Demonstrates strong reporting and analytical capabilities through monitoring activities, resolving issues, providing updates to the Legislature and the Office of the Premier, and conducting data collection and analysis.

Job Duties

Facilitate the coordination and consolidation of departmental reports for submission to oversight bodies and ensure compliance with applicable regulations, internal policies, and prescribed deadlines for the submission of reports and meeting minutes.

Coordinate the provision of secretariat services to departmental management structures, maintain the scheduling and coordination of management meetings, and represent the Unit, where required, during meeting proceedings.

Review, implement, and monitor the Unit's operational plan and compile reports on project site visits and outreach programmes attended for submission to the Deputy Director and other executives.

Facilitate the coordination of Taking Legislature to the People (TLP) initiatives, oversight visits, and provincial and national outreach programmes, while monitoring the achievement of the Unit's objectives and targets.

Assist with budget planning, expenditure monitoring, and financial administration, and perform office administration functions and other duties assigned by the Deputy Director to support the effective functioning of the Unit.

Salary

R487 197 per annum
