What You’ll Do

  • Attend to incoming and outgoing telephone calls, providing exceptional customer service.
  • Transfer calls to relevant extensions and provide clients with accurate information.
  • Take messages and ensure they are conveyed to the appropriate staff members promptly.
  • Maintain and update the telephone database, including allocating pin codes as authorized.
  • Keep detailed records of all outgoing calls and print telephone accounts for staff.
  • Identify and report any telephone faults to the supervisor, ensuring the switchboard system operates smoothly.
  • Notify staff of any telephone outages and record maintenance issues as they arise.
  • Manage the bar and activation of telephone extensions when authorized.

What You’ll Need

  • A qualification at NQF Level 04 as recognized by SAQA.
  • Basic knowledge of machine operations and working procedures.
  • Strong interpersonal skills with the ability to communicate effectively.
  • Basic literacy skills for accurate record-keeping and message-taking.
  • Organisational skills to manage call logs and maintain the switchboard efficiently.

Job Duties

Render switchboard services: Attend to incoming and outgoing telephone calls.

Transfer calls to relevant extensions.

Provide clients with relevant information.

Take messages and convey to relevant staff.

Keep record of all outgoing calls.

Print and issue telephone accounts.

Maintain telephone database.

Allocate pin codes when authorised.

Maintain switchboard system: Identify and report telephone faults to the supervisor.

Notify the staff if telephones are out of order.

Record maintenance of the switchboard.

R201 093 per annum (Level 04)
