What You’ll Do

  • Provide comprehensive secretarial and receptionist support to the Senior Manager.
  • Screen and manage incoming calls, ensuring effective communication.
  • Organize and prioritize the Senior Manager’s appointments and diary.
  • Manage documentation flow, ensuring all necessary materials are prepared for meetings.
  • Perform advanced typing tasks, including drafting letters and reports.
  • Ensure proper functioning of office equipment like fax machines and photocopiers.
  • Welcome guests and enhance the professional image of the office.
  • Coordinate logistical support for travel, accommodation, and processing of claims.
  • Organize meetings, workshops, and events, handling venue booking and refreshments.
  • Prepare meeting agendas and record minutes, maintaining accurate records.
  • Administer leave registers and manage filing of documents.
  • Stay updated on policies and procedures relevant to the role.

What You’ll Need

  • A Senior Certificate with at least 2 years of experience in a secretarial role.
  • Proficiency in office management procedures and processes.
  • Strong computer literacy with knowledge of MS Word, PowerPoint, Excel, Outlook, and internet usage.
  • Excellent verbal and written communication skills, with the ability to engage with diverse individuals.
  • Capability to work under pressure and manage time effectively.
  • Knowledge of departmental policies and procedures is advantageous.
  • A valid driver’s license will be an added advantage.
