What You’ll Do
- Provide secretarial support to the Director, including managing the diary and scheduling appointments.
- Receive and direct telephone calls to the appropriate individuals.
- Type and prepare documents for the Director and other team members.
- Operate office equipment such as computers and photocopiers.
- Coordinate travel arrangements and check relevant documents.
- Organize meetings and events, including venue selection and logistics.
- Process travel and subsistence claims for the unit.
- Record minutes of meetings and draft routine correspondence.
- Maintain filing systems and manage incoming and outgoing documents.
- Handle procurement of standard office supplies and refreshments.
- Keep updated on relevant policies and procedures to support the Director effectively.
What You’ll Need
- A minimum of a Grade 12 Certificate.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Excellent telephone etiquette and strong organizational skills.
- Good interpersonal skills and the ability to communicate effectively with diverse groups.
- A tactful and discreet approach to handling sensitive information.
- A willingness to learn and stay informed about departmental policies and procedures.
