What You’ll Do

  • Advise and develop the Departmental Records policy and procedures.
  • Manage and control records according to National Archives requirements.
  • Report additions and amendments on the File Plan to the National Archives.
  • Liaise with the National Archives for File Plan approvals.
  • Provide administrative support for handling NPA records.
  • Standardize records management practices across the organization.
  • Determine retention periods for various records and manage storage components.
  • Conduct information sessions on the proper use of registries in line with the National Archives Act.
  • Carry out periodic inspections to ensure compliance with records management standards.
  • Oversee auditing and quality assurance processes related to records management.
  • Supervise and develop staff within the sub-directorate.
  • Compile monthly performance reports for regional records management.

What You’ll Need

  • An appropriate B Degree (NQF 7) or a Three-year Diploma (NQF 6) in Archives/Records Management/Library and Information Science or an equivalent qualification.
  • A minimum of three years’ experience at an Assistant Director level.
  • Five years’ experience in the field of Electronic Records Management.
  • Strong understanding of the National Archives Act and Records Management standards.
  • Excellent interpersonal communication skills, both verbal and written.
  • Proficient report-writing skills, including the ability to prepare high-level reports for management.
  • Advanced computer literacy in Microsoft Office applications (Word, Excel, PowerPoint).
  • Capability to work independently and under pressure, with strong problem-solving skills.
  • A willingness to travel and the ability to work collaboratively within a team.
