What You’ll Do
- Supervise and provide administration support for registry counter services.
- Capture all received invoices on the Reapatala system.
- Handle incoming and outgoing correspondences effectively.
- Attend to client queries with professionalism and efficiency.
- Prepare and distribute notices regarding registry issues.
- Facilitate bulk photocopying requests as necessary.
- Maintain an organized filing system according to record classification.
- Monitor and assess the records management system to ensure compliance with regulations.
- Ensure timely payment of the Post Office private bag account.
- Oversee the registration and dispatching of mail, ensuring confidentiality.
- Provide general administration and supervisory functions, including staff performance evaluations.
- Allocate duties and implement quality controls.
- Offer leadership and training to subordinates.
- Perform additional duties as required by the unit.
What You’ll Need
- A minimum of a tertiary qualification (NQF level 6/National Diploma) in Public Administration, Public Management, or Business Management.
- Experience in financial systems (Reapatala, Archibus) and record management.
- A valid driver’s license is required.
- Knowledge of relevant policies, including Electronic Document and Records Management Systems (EDRMS) and the Public Finance Management Act (PFMA).
- Competencies in effective communication, report writing, basic numeracy, and computer literacy.
- Strong analytical thinking, interpersonal relations, and client liaison skills.
- Personal attributes such as being people-oriented, assertive, and capable of working under pressure.
