What You’ll Do

  • Provide secretarial and receptionist support to the Director.
  • Manage incoming calls and direct them to the appropriate staff.
  • Maintain the Director’s diary by recording appointments and events.
  • Type documents and reports for the senior manager and unit staff.
  • Operate office equipment, including computers and photocopiers.
  • Liaise with travel agencies to arrange travel and check relevant bookings.
  • Organise meetings and events, including venue selection and refreshments.
  • Process travel and subsistence claims for the unit.
  • Handle invoices related to the Director’s activities.
  • Record minutes for meetings as required.
  • Draft routine correspondence and maintain filing systems.
  • Administer leave registers and telephonic accounts.
  • Receive, record, and distribute all incoming and outgoing documents.
  • Manage procurement of standard office items like stationery.

What You’ll Need

  • A Grade 12 Certificate is essential.
  • Proficiency in computer applications, including Microsoft Word, Excel, and PowerPoint.
  • Excellent telephone etiquette and sound organizational skills.
  • Strong interpersonal skills with the ability to communicate effectively across various levels.
  • Discretion and tact in handling sensitive information.
  • Ability to adapt to changing policies and procedures in the office.
