What You’ll Do

  • Receive and screen phone calls and emails, drafting professional correspondence.
  • Act as the primary point of contact, greeting visitors and directing inquiries.
  • Manage meeting schedules and coordinate logistics, including booking rooms and catering.
  • Prepare and proofread submissions, reports, memos, and presentation materials.
  • Organize travel itineraries and manage accommodation bookings.
  • Maintain digital and physical filing systems for easy document retrieval.
  • Monitor office supplies and manage expenditure commitments.
  • Conduct information gathering and analysis as requested by the Chief Director.
  • Ensure office equipment is in good working order and assist in troubleshooting issues.
  • Maintain confidentiality and handle sensitive information with discretion.

What You’ll Need

  • Grade 12 and an NQF 6 qualification in Personal Assistant/Secretarial/Office Management or equivalent.
  • A minimum of 1 to 2 years’ experience in an administrative support role.
  • Proficiency in Microsoft Office Suite, particularly Outlook and Excel.
  • Strong communication skills, both written and verbal, for effective interaction.
  • Exceptional organizational skills with an ability to manage multiple tasks.
  • Basic knowledge of relevant legislation and financial administration.
  • Discretion and professionalism in handling sensitive information.
  • Ability to anticipate needs and proactively address potential challenges.
