What You’ll Do

  • Provide comprehensive secretarial and receptionist support to the Director, including managing incoming calls and directing them appropriately.
  • Maintain the Director’s diary by recording appointments and scheduling events effectively.
  • Prepare documents and manage office equipment to facilitate daily operations.
  • Coordinate travel and event arrangements, including liaising with travel agencies and organizing meetings.
  • Process travel and subsistence claims, ensuring all documentation is accurately handled.
  • Support the Director in administrative tasks, including minute-taking, managing leave systems, and handling incoming and outgoing documents.
  • Stay updated on relevant legislation and departmental policies to provide informed support to the Director.

What You’ll Need

  • A Grade 12 Certificate or equivalent qualification for effective job performance.
  • Practical experience in secretarial or administrative support to senior management is advantageous.
  • Proficiency in computer literacy, particularly with MS Office applications (Word, Excel, PowerPoint).
  • Knowledge of public sector regulations and procedures, including the Public Service Act and Treasury Regulations.
  • Strong organizational skills, attention to detail, and the ability to communicate effectively at various levels.
  • Capacity to work under pressure and maintain confidentiality and discretion in all dealings.
