What You’ll Do

  • Manage incoming telephone calls and direct them appropriately, ensuring discretion and sensitivity.
  • Provide advanced typing and clerical support, including document preparation and filing.
  • Coordinate the HoD’s schedule, organizing appointments and engagements efficiently.
  • Facilitate communication and information flow between the HoD and internal/external stakeholders.
  • Draft and prepare reports, briefing notes, and meeting minutes as required.
  • Oversee travel arrangements, including itineraries, accommodations, and logistics.
  • Maintain the office environment, ensuring all equipment is operational and available supplies are procured.
  • Monitor expenditure and assist in budget management for the HoD’s office.

What You’ll Need

  • An NQF 6 qualification in Personal Assistant, Secretarial, Office Management, Business Management or equivalent.
  • A minimum of two years’ experience supporting executive management, particularly in office administration and travel coordination.
  • Proficiency in Microsoft Office Suite, including Outlook and Excel, as well as familiarity with Zoom and MS Teams.
  • Strong organizational skills and the ability to manage multiple priorities with attention to detail.
  • Excellent written and verbal communication skills, capable of engaging with diverse individuals.
  • A valid driver’s license, unless exempt due to disability.
  • A professional demeanor, with the ability to handle confidential information discreetly.
