What You’ll Do

  • Implement administration operations within the unit to ensure smooth functioning.
  • Perform general administrative tasks, including filing, faxing, and copying.
  • Draft submissions, reports, memorandums, and minutes for the unit.
  • Manage records and documents, both manually and electronically.
  • Arrange and coordinate meetings and workshops, providing logistical support.
  • Monitor assets and conduct audits within the unit.
  • Administer the unit’s budget and assist in processing subsistence claims.
  • Track incoming tasks and ensure all deadlines are met.
  • Liaise with relevant stakeholders to facilitate effective communication.
  • Provide comprehensive office administration services to enhance service delivery.
  • Implement effective risk and compliance management practices.
  • Process forms and documents related to claims, payments, and invoices.
  • Guide and coach staff on best practices in office administration.

What You’ll Need

  • An undergraduate qualification in Office Management and Technology, Business Management, or Administration Management at NQF level 6, as recognized by SAQA.
  • A minimum of 1 year of experience as an Administration Clerk.
  • Proficiency in various filing systems and knowledge of office administration methodologies.
  • Understanding of the Public Service Regulatory Framework, Treasury Regulations, and the Public Finance Management Act (PFMA).
  • Familiarity with Supply Chain Management processes and Human Resources regulatory requirements.
  • Strong computer literacy, especially in MS Office (Word, Excel, PowerPoint).
  • Excellent analytical thinking and planning skills, with a focus on financial administration.
  • Strong interpersonal, verbal, and written communication abilities.
  • A commitment to teamwork, time management, and achieving results.
