What You’ll Do

  • Attend to clients, providing a warm and welcoming environment.
  • Handle telephonic and other enquiries with professionalism and efficiency.
  • Receive and register hand-delivered mail and files, ensuring proper documentation.
  • Sort, register, and dispatch mail to maintain effective communication.
  • Distribute notices regarding registry issues accurately and promptly.
  • Open and close files in accordance with the established record classification system.
  • Manage filing, storage, tracing, and retrieval of documents both electronically and manually.
  • Complete index cards for all files to facilitate easy access to information.
  • Operate and maintain a franking machine, recording post and updating registers daily.
  • Conduct spot checks on outgoing post to ensure compliance with regulations.
  • Prepare files for archiving and distribution, ensuring proper organization.

What You’ll Need

  • A Grade 12 (Senior Certificate) or equivalent qualification.
  • Knowledge of registry duties and practices, with the ability to capture data accurately.
  • Familiarity with the legislative framework governing the Public Service.
  • Understanding of storage and retrieval procedures relevant to the working environment.
  • Strong numeracy, literacy, and language skills.
  • Excellent verbal and written communication abilities.
  • Capability to work collaboratively within a team-oriented environment.
