What You’ll Do

  • Provide exceptional receptionist services to visitors and callers.
  • Manage all incoming and outgoing calls efficiently.
  • Transfer calls to relevant extensions and provide accurate information to callers.
  • Take messages and ensure they are conveyed to the appropriate staff members.
  • Maintain records of outgoing calls and update the telephone database.
  • Keep an updated internal directory with contact numbers of stakeholders.
  • Identify and report any telephone faults to the supervisor.
  • Maintain the switchboard system to ensure smooth operations.

What You’ll Need

  • A Grade 12 qualification along with a recognized Office Administration Certificate, Secretarial or Receptionist Certificate, or Public Relations qualification.
  • Knowledge of public service legislative frameworks, policies, and processes.
  • Strong interpersonal and organizational skills.
  • Excellent written and verbal communication abilities.
  • Advanced proficiency in computer literacy, including Microsoft Excel, PowerPoint, MS Word, and GroupWise.
  • Ability to work effectively both in a team setting and independently.
  • Willingness to occasionally work after hours as necessary.
  • Good telephone etiquette and understanding of Batho Pele Principles.

Requirements

Grade 12 plus a recognised Office Administration Certificate/Secretarial or Receptionist Certificates, Public Relations.

Skills And Competencies: Knowledge of Public Service legislative frameworks, policies and processes.

Good interpersonal and organizational skills.

Good communication skills (written and verbal).

Advanced Computer literacy packages such as Microsoft Excel, PowerPoint, MS Word, Group Wise Internet etc.

Ability to work in a team and independently.

Willingness to occasionally work after hours when needed.

Good telephone antiquate.

Knowledge of Batho Pele Principles.

Job Duties

Render receptionist services.

Manage all incoming and outgoing calls.

Transfer calls to the relevant extensions.

Provide callers with the relevant information.

Take messages and convey to relevant staff.

Keep record of all outgoing calls.

Maintain telephone database and internal directory as well as contact numbers of all internal and external stakeholders.

Identify and report telephone faults to the supervisor.

Maintain switchboard system.

Salary

R201 093 per annum
