What You’ll Do

  • Act as the first point of contact for the Chief Director, managing inquiries and requests.
  • Provide comprehensive administrative secretarial and receptionist support.
  • Schedule and prioritize appointments, making travel arrangements, and preparing for meetings.
  • Handle correspondence, tracking incoming and outgoing documents to ensure timely responses.
  • Scrutinize routine submissions and reports, providing notes and recommendations for the Chief Director.
  • Establish and maintain a document management and tracking system.
  • Record minutes and decisions from meetings, communicating updates to relevant stakeholders.
  • Monitor the Chief Director’s Office budget, ensuring correct allocation of expenditures and reporting discrepancies.
  • Support fellow team members within the branch as needed.
  • Maintain confidentiality and adhere to all policies and procedures.

What You’ll Need

  • A National Senior Certificate and an appropriate National Diploma (NQF Level 6) in Public Administration, Management, or Office Management.
  • A minimum of 1-2 years of relevant experience in providing administrative support to senior management.
  • A valid South African driver’s license.
  • Proficiency in Microsoft Office Suite and advanced computer literacy.
  • Strong office management skills and a good understanding of administrative procedures.
  • Excellent organizational skills and the ability to work well with people.
  • High level of reliability, tact, and discretion in handling sensitive information.
  • Strong verbal and written communication skills, along with interpersonal and conflict resolution abilities.
