What You’ll Do

  • Provide comprehensive administrative support to the DDG, ensuring optimal workflow.
  • Manage and screen calls, emails, and correspondence to maintain efficient communication.
  • Assist in planning, scheduling, and coordinating internal and external meetings.
  • Draft and maintain the meeting calendar for the DDG, including booking necessary venues.
  • Compile quarterly Demand Management Plans and monitor budget expenditures.
  • Offer secretariat support for meetings, ensuring that resolutions and action items are followed up on.
  • Organize and maintain the filing system and confidential records in the office.
  • Provide logistical support, including travel and accommodation arrangements.
  • Prepare and submit itineraries, subsistence, and travel claims for the DDG.
  • Ensure the DDG is well-prepared for meetings with relevant documents and information.
  • Maintain the DDG’s personal file with essential work-related documents.
  • Facilitate effective communication with various business units and stakeholders.
  • Welcome clients and stakeholders visiting the DDG and manage the waiting area effectively.

What You’ll Need

  • An undergraduate qualification (NQF Level 6) in Public Administration or a related field.
  • A minimum of two years of experience in an administrative, secretarial, or personal assistant role.
  • Strong knowledge of information management and office administration.
  • Familiarity with Supply Chain Management Procedures and public service legislation.
  • Proficiency in virtual meeting platforms and scheduling tools.
  • Excellent computer literacy and communication skills, both verbal and written.
  • Ability to write reports and manage projects effectively.
  • Strong planning, organizing, and analytical skills, with the capacity to interact with various units.
