About the Role
The Department of Health is currently seeking a dedicated and organized Administrative Officer: Support Services (Reception) to join their team at the Khayelitsha Community Health Centre in Khayelitsha, Cape Town. This pivotal role not only contributes to the efficient operation of the health facility but also plays a vital part in ensuring that community members receive the highest standard of care. By managing reception services, overseeing administrative duties, and supporting the Facility Manager, you will directly impact the quality of public service delivered to the community.
As the first point of contact for patients and visitors, your role will significantly enhance the patient experience. Your ability to coordinate registry services, manage recordkeeping, and facilitate effective communication will help streamline operations within the health centre. This position is essential in maintaining the integrity of patient records and ensuring a welcoming environment for all who enter Khayelitsha CHC.

What You’ll Do
- Coordinate registry services and manage folder organization to ensure efficient recordkeeping.
- Supervise and develop reception administration, including managing a welcome helpdesk and addressing complaints.
- Operate the switchboard and maintain folder hygiene while managing the patient registration system.
- Handle Motor Vehicle Accident claims and assist with J88 documentation.
- Support the Facility Manager and Line Managers with administrative management tasks, including records management and disposal.
- Assist with infrastructure, IT equipment, and asset management, submitting daily statistics as needed.
- Oversee HR functions such as training, leave administration, duty rosters, and overtime management.
- Facilitate compliance with Labour Relations and ensure staff are well-supported.
What You’ll Need
- A minimum educational qualification of a Senior Certificate (or equivalent).
- Relevant administrative and supervisory experience in a reception environment.
- A valid (Code B/EB) driver’s license.
- Availability to provide administrative support outside regular hours for shift staff.
- Excellent communication skills and strong leadership abilities.
- Advanced computer literacy, including proficiency in MS Word, Excel, and PowerPoint.
- Familiarity with PHCIS and Clinicom systems.
